Switching broker · Step-by-step

How to switch PI broker without disruption

Reviewed by Matthew Bartlett, Director, Apex Insurance Brokers Limited (FCA FRN 724952) · Published 15 July 2026

Switching PI broker properly means preserving your insurer relationship, maintaining retroactive-date continuity, and not disrupting the claim-handling machinery. Here's the sequence.

The 8-step switch process

  1. Confirm the need to switch. Not always the answer. See our page on when to stay.
  2. Identify the new broker. Sector specialism, wholesale market access, named-broker model.
  3. Have an initial conversation. Discuss your firm, current cover, any claim history.
  4. Sign the new Terms of Business Agreement. New broker becomes your representative.
  5. Notify the current broker. Written revocation of their TOBA.
  6. Notify the insurer. Broker of Record change letter, usually done by the new broker.
  7. File transfer. Complete history moves from old broker to new.
  8. Confirm continuity. Insurer confirms policy remains in force under new broker.

What to protect during the switch

Common mistakes to avoid

  1. Signing new TOBA without formally revoking old — creates conflicting representation.
  2. Neglecting to notify insurer of the change — can complicate claim handling.
  3. Not transferring the complete file — leaves the new broker missing context.
  4. Switching mid-claim — disrupts continuity where it matters most.
  5. Switching in the last 4 weeks before renewal — timing too tight.

What the new broker should be doing

Frequently asked

How long does the whole switch take?
For a clean switch at renewal, 4-8 weeks from first conversation to established relationship.
Do I need to interview brokers before switching?
Recommended — at least 2 conversations. Ask specific questions about sector, market access, service.
What if the new broker asks for a lot of documentation?
Reasonable for them to get complete context. Provide the file completely.
Can I switch back if it doesn't work out?
Yes, though not usually done in the same policy year. Two switches signal instability.
Does switching affect my broker relationship for other insurances?
Usually PI switching doesn't affect other lines — but broker consolidation is worth considering.
How do I verify the new broker is doing a good job?
Response time, quality of advice, insurer engagement, renewal timing discipline, claim handling if that arises.
