Aipedia: Charities and trustees
Charities can use AI to transcribe and summarise case notes, but safeguarding records need human review because a missed or distorted disclosure can leave a child or adult at risk. The Charity Commission singles out work with children and vulnerable people as needing extra care.

In short
Support workers use AI to transcribe sessions and summarise case notes, including safeguarding concerns. The Charity Commission's AI blog says charities working with children, vulnerable beneficiaries or medical data should take extra care, that human oversight should catch material errors, and that data security under GDPR is a key risk. An AI summary that drops or softens a disclosure can delay a referral. Claims arising from abuse are commonly handled under abuse or liability cover; a claim that trustees failed to oversee safeguarding may engage D&O or trustee indemnity; and PI may respond where the charity provides a professional service. How these interact depends on each wording.
Recording takes time away from people. Charities working with children, young people, older people and adults at risk use AI to:
These records are often the evidence a safeguarding lead relies on to decide whether to refer, and the record a court or inquiry may examine years later.
Illustrative scenario: a young person mentions, late in a long session, that an adult at home has started locking them in their room. The AI transcription mishears a key phrase, and the summary the worker files describes the session as "routine, no concerns". The safeguarding lead reviews summaries, not transcripts, and no referral is made. Months later the harm comes to light and the record shows the charity had the information.
Other risks include summaries that paraphrase a disclosure in softer words than the person used, AI tools that store recordings outside the charity's control, and notes that mix up two people with similar names. Each can affect a later investigation as much as the original decision.
Claims after a safeguarding failure can arrive from several directions, and they are commonly handled by different policies:
Gaps tend to appear where each policy points to another.

Apex arranges trustee indemnity, D&O and PI for charities. A broker can map how your abuse, D&O and PI covers fit together, so a safeguarding claim does not fall between them. See the AI in charities hub.
You can use it to help, but the Charity Commission says charities working with children and vulnerable people should take extra care, and human oversight should catch material errors. A worker should check every AI note, and safeguarding decisions should not rest on a summary alone.
It may cover a claim that trustees failed to oversee safeguarding, subject to the terms, but many D&O wordings exclude bodily injury and abuse. The claim by the person harmed is commonly dealt with under public liability or a specific abuse extension.
Yes. The Commission's AI blog names GDPR data security as a key risk, and case notes usually contain special category data. Charities should know where each tool stores recordings and who can access them before using it.
Explaining recording in plain terms is good practice and supports transparency under data protection law. The Charity Commission's AI blog calls for extra care with children and vulnerable people, which includes being clear about how their information is captured, stored and used.
