Aipedia: Ecologists and environmental consultants

AI desk studies and biological records searches

AI can summarise records centre data, designated sites and earlier reports for an ecological desk study, but it can also invent records or designations that do not exist. Uploading the data may breach the terms it was supplied under and expose sensitive species locations.

In short

Desk studies draw on local records centre data, designated site information and earlier survey reports. AI assistants can condense these quickly, but generative tools can produce plausible records, distances or designations that are not in the source data, or drop records that matter. Records centre data comes with terms of supply that may restrict sharing with third parties, and species locations are sensitive. The CIEEM Code requires accuracy, regard to published guidance and attention to confidentiality. An inaccurate desk study can lead to missed surveys, delay and a claim, while a data leak raises separate contractual and data protection issues.

How AI is used in desk studies

A desk study sets the context for every later ecology decision on a site. It typically covers protected and notable species records within a search radius, statutory and non-statutory designated sites, habitat inventories, previous reports for the site and neighbouring land, and planning history. The raw material often arrives as spreadsheets, shapefiles and long PDFs.

Consultants use AI assistants to summarise records by species group and distance, to extract key findings from previous reports, and to draft the desk study section of an appraisal or EcIA. Used carefully this saves time. Used carelessly it puts an unverified summary at the base of the whole assessment.

The duties that apply

The CIEEM Code requires accuracy and regard to published guidance (clause 4) and responsibility for professional decisions (clause 10). Its supplementary notes say limitations of information relied on should be stated, and they treat confidentiality as an ethical principle while expecting data sharing unless contract confidentiality prevents it.

The ISEP advice note on AI in EIA, as described for CIWEM, names poor input data and sensitive data and third-party sharing among the main risks of AI, and expects outputs to be checked against the underlying evidence. Data from a records centre is supplied on terms. Before uploading it to an AI service, check whether those terms allow it to be processed by a third party and how long the service retains it.

What can go wrong

Generative AI errors in desk studies tend to fall into a few patterns:

Illustrative scenario. An ecologist asks an AI assistant to summarise a records centre spreadsheet and two earlier reports for a housing site. The summary omits a recent record of a protected species close to the boundary and reports that an earlier survey found no constraints, although it had recommended further work. The appraisal relies on the summary. The planning authority’s ecologist spots both points, the application is delayed for surveys, and the client claims for lost time.

Because desk study errors carry forward, they often appear inside other claims, such as those described in AI-written preliminary ecological appraisals. Species location data raises separate issues covered in AI, sensitive species data and confidentiality.

How PI usually responds

A client claim for loss caused by an inaccurate desk study is usually treated as professional negligence, and PI commonly responds subject to the policy terms. A complaint by a records centre that you breached its data terms is different. It may be a contractual claim rather than a negligence claim, and some PI policies limit cover for breach of contract or confidentiality, while data protection incidents may sit with cyber insurance. A specialist PI broker for ecological consultants can check where the gaps fall.

Practical controls

A few controls make AI desk study summaries safe to rely on:

How Apex helps

Apex arranges PI for ecologists and environmental consultants who produce desk studies and appraisals. A broker reviews your cover and how your policy treats AI-assisted research and data handling. See the AI in ecology consultancy overview and AI Phase 1 contaminated land desk studies.

Frequently asked

Can AI invent biological records?

Generative AI can produce plausible but false content, including records, dates, distances or designations that are not in the source data. That is why every item in an AI summary should be checked against the records centre data and original reports before it is relied on.

Can I upload records centre data to an AI tool?

Check the terms the data was supplied under first. They may restrict sharing with third parties or onward use. Also check whether the AI service retains inputs or uses them for training, and whether the data includes sensitive species locations.

Is a records centre data breach a PI or cyber claim?

It depends on the facts and wordings. A client’s negligence claim usually sits with PI. Contractual claims by the data provider and data protection incidents may fall partly outside PI and partly within cyber cover, so review both policies together.
