AI advice on cancellations and refunds: client losses, PI and cancellation cover

If a planner uses AI to advise a client on cancelling or claiming refunds and the advice on rights or deadlines is wrong, the planner may be liable for the client's loss. Cancellations are high-value moments, because deposits for venues, catering and entertainment are often committed months in advance.

In short

When an event is postponed or cancelled, planners may use AI to read supplier contracts, summarise refund rights, draft cancellation notices and chase refunds. AI tools can misread notice periods, miss conditions or apply the wrong law, leading a client to lose deposits or pay avoidable charges. The planner owes reasonable care and skill under the Consumer Rights Act 2015 or the Supply of Goods and Services Act 1982. PI commonly responds to negligent advice claims, subject to the wording, while event cancellation insurance covers the event loss itself from insured causes.

How planners use AI on cancellations and refunds

When plans change, clients look to the planner to work out what they can recover. Planners use AI to:

Supplier contracts vary widely and often have conditions buried in schedules or emails. AI summaries can miss a notice method, treat working days as calendar days or assume a refund right that the contract does not give.

The duties that apply

Advising a client on cancellation is part of the planning service, and it must be done with reasonable care and skill under section 49 of the Consumer Rights Act 2015 for couples, or section 13 of the Supply of Goods and Services Act 1982 for corporate clients. A planner who is not qualified to give legal advice should say so and suggest the client takes it where significant sums are at stake.

Where a planner uses AI to decide refunds owed to its own clients, there is a data angle too. UK GDPR Articles 22A to 22D on automated decisions came into force on 5 February 2026 under section 80 of the Data (Use and Access) Act 2025. They would apply if, for example, AI automatically refused refunds without human involvement. The planner's own terms are covered in AI-drafted client contracts and terms.

What can go wrong

Illustrative scenario. A couple decides to postpone their wedding. The planner uses an AI tool to summarise the venue and catering contracts and tells the couple that notice given by a certain date will secure a partial refund. The tool missed a clause requiring notice by recorded post to a named contact, and calculated the deadline in calendar days rather than working days. The notice is late and invalid, and the couple loses deposits they would otherwise have recovered. They claim the lost amounts from the planner.

Corporate clients can face similar losses when a conference is moved and AI-drafted notices to hotels or venues miss a release date.

PI and event cancellation insurance

These two covers do different jobs. Event cancellation insurance is usually bought by or for the event owner and pays for the event loss when it is cancelled or curtailed for an insured reason, subject to its terms. PI is the planner's cover for claims that the planner's own professional service was negligent.

In the scenario, the couple's lost deposits arise from the planner's advice, not from an insured cancellation event, so the claim against the planner is commonly a PI matter, subject to the wording and excess. Where the client also has cancellation cover, insurers may look at which loss falls under which policy. Planners should avoid giving advice about what a client's own insurance covers. Frequently asked

Is a planner liable for a client's lost deposit after wrong cancellation advice?

Possibly. If the planner advised on cancellation and failed to use reasonable care and skill, for example by relying on an unchecked AI summary of the contract, the client may claim the deposits lost as a result. PI commonly responds subject to the wording.

Does event cancellation insurance cover a planner's mistake?

Usually not. Event cancellation insurance pays the event owner for losses when an event is cancelled or curtailed for an insured reason. A claim that the planner gave negligent advice is a matter for the planner's PI, subject to its terms.

Can I use AI to decide whether clients get refunds?

You can use it to help, but a person should make the decision. If AI automatically refused refunds without human involvement, UK GDPR Articles 22A to 22D on automated decisions, in force since 5 February 2026, could apply.

Should planners advise couples on their own wedding insurance?

It is safer not to. Explaining what a couple's own insurance does or does not cover can stray into areas that need specialist knowledge. Point couples to their insurer or broker and focus your advice on the supplier contracts you manage.
