Aipedia: Management consultants

AI notetakers in workshops and interviews

AI notetakers can record and summarise stakeholder interviews and workshops, but consultants need participants' consent, a lawful basis for the personal data and checks on what the summary says. Transcripts held on a vendor's servers also raise confidentiality questions.

In short

Interviews and workshops are central to diagnostic and change work, and AI transcription saves hours. The risks are that participants are recorded without proper notice, candid comments are stored on a third-party platform, and AI summaries misattribute or distort what was said. ICMCI 3.4 and 8.3 bar putting confidential or personal data into tools that may reuse, train on or expose it without safeguards, and 3.1 requires human review. A misquoted finding can cause harm to individuals and to the client. PI may respond to negligence claims, subject to the wording; data incidents may be better suited to cyber cover.

How consultants use AI notetakers

Consultants interview executives, staff, customers and suppliers, and run workshops to map processes or test options. AI notetakers now join video calls automatically, record in-room sessions on a phone, transcribe, identify speakers and produce summaries, actions and themes. On large diagnostics, transcripts from dozens of interviews are fed into a generative AI tool to extract common issues and illustrative quotes.

This saves time and improves recall. It also changes the nature of the conversation: staff may say less if they know they are recorded, or may not realise a tool is recording at all.

Notetakers also generate more data than consultants used to keep. Handwritten notes captured themes; a transcript captures every name, aside and personal detail, and may sit indefinitely on a platform the firm does not control. Some tools also offer to share summaries with every attendee automatically, which can send interview content to people who were never meant to see it.

What can go wrong

Illustrative: during a cultural review, a consultant records interviews with an AI notetaker and uses an AI tool to pull out themes and quotes. The final report includes an anonymised but distinctive quote criticising a senior manager, which the tool attributed to the wrong interview and paraphrased more harshly than the speaker's words. The manager is identified from context, raises a grievance and the client's staff lose trust in the process. Separately, the client discovers transcripts are stored on the notetaker vendor's servers outside its approved suppliers.

The fallout may include a complaint to the ICO, a client claim for re-work and a damaged relationship. In more serious cases an individual may allege harm from inaccurate attribution, which could raise defamation or data protection issues. Where an interview was meant to be confidential, the client may also argue that storing it with an unapproved vendor breached the engagement terms.

How PI usually responds

A client claim that findings were negligently prepared because of misattributed evidence is commonly within consultants' PI, subject to the wording. Some PI policies also include defamation and breach of confidentiality; see whether PI covers defamation. A data incident involving a vendor's platform, with breach response costs and regulator contact, is usually better suited to cyber cover, and some PI wordings exclude data breaches. Fines may be excluded or uninsurable. See where PI ends and cyber begins.

Frequently asked

Do I need consent to record a stakeholder interview?

You need a lawful basis under UK GDPR and must tell participants clearly before recording. Consent is one option but not the only one. Clients may also restrict recording in the engagement terms, so agree the approach first.

Can I quote interviewees from an AI summary?

Check every quote against the transcript or recording first. AI summaries can paraphrase, combine speakers or change tone. ICMCI 3.1 requires meaningful human review before AI-assisted outputs reach clients.

Who is responsible if the notetaker vendor has a data breach?

Usually the consultant remains responsible to its client for choosing and managing the tool, and may have data protection obligations as a processor or controller. Cyber cover is often the better fit for breach response costs, subject to the wording.
