AI-built event budgets and client quotes: overspend, disputes and PI

An AI-built budget is the planner's budget, so missing items, VAT mistakes or wrong supplier prices are the planner's responsibility once the client relies on them. Budget errors are a common trigger for fee disputes, because they surface when the final invoices arrive.

In short

Planners use AI to draft budgets, cost breakdowns and client quotes from templates, brochures and past events. The risks are missing items such as staffing, service charges or overtime, prices treated as VAT inclusive when they are not, and out-of-date supplier rates. The planner owes reasonable care and skill under the Consumer Rights Act 2015 or the Supply of Goods and Services Act 1982, and figures given to a consumer can become contract terms. PI commonly responds to a client's financial loss from negligent budgeting, subject to the wording, but recovering unpaid fees is not a PI matter.

How planners use AI for budgets and quotes

Budgeting involves many line items and frequent changes, which makes AI attractive. Planners use it to:

Each step can introduce errors. An AI tool may omit costs it has not been told about, misread whether a supplier price includes VAT, round figures, or carry over rates from an older event.

The duties that apply

For couples and private clients, section 49 of the Consumer Rights Act 2015 requires reasonable care and skill. For businesses, section 13 of the Supply of Goods and Services Act 1982 implies the same term. A budget prepared with AI is held to the standard of a competent planner.

Under section 50 of the Consumer Rights Act 2015, what the planner says or writes to a consumer about the service can become a contract term if the consumer relies on it. A quote stating that a package "includes" certain items can be read that way. Section 57 stops a planner using contract terms to exclude liability under section 49 to a consumer, so a disclaimer saying the budget is "AI-generated and not guaranteed" will not remove the duty of care. Drafting points are covered in AI-drafted client contracts and terms.

What can go wrong

Illustrative scenario. A planner uses an AI tool to turn venue, catering and bar quotes into a budget for a corporate dinner. The tool treats catering prices as including VAT when the caterer quoted them excluding VAT, and leaves out the venue's service charge and late finish fee. The client approves the event on that budget. The final invoices come in well above it, the client's internal approval is exceeded, and the client refuses to pay the planner's final fee, alleging the budget was negligent.

For weddings, the same error might leave a couple paying more than they planned or cutting other elements late in the process.

Fee disputes and counterclaims

Budget errors often appear as a fee dispute: the planner chases an unpaid invoice and the client counterclaims for negligence. PI commonly responds to the defence of the counterclaim, subject to the policy terms, but it does not pay the planner's own unpaid fees. Some wordings also exclude claims for the return or reduction of fees. It is worth asking a broker how your policy handles both, alongside the points in how much PI costs for event planners.

How PI usually responds

A claim that a planner negligently prepared a budget is a professional negligence claim, and event planners' PI usually responds subject to the wording and excess. The measure of loss can be disputed: a client would often have had to pay the true cost of the event anyway, so the argument tends to focus on what the client would have done differently with an accurate budget. A guarantee that costs would not exceed a figure may fall outside PI under a contractual liability exclusion. See whether PI covers AI mistakes for more on exclusions.

Practical controls

Budget errors are among the easiest AI mistakes to prevent with routine checks:

Frequently asked

Can I rely on a disclaimer that my budget is only an AI estimate?

A clear estimate label helps manage expectations, but for consumers section 57 of the Consumer Rights Act 2015 prevents terms excluding liability for failing to use reasonable care and skill. A disclaimer is no substitute for checking figures against supplier quotes.

Does PI pay if a client refuses to pay my fee over a budget error?

PI commonly covers defending the client's negligence counterclaim, subject to the wording, but it does not pay your unpaid fees. Some policies also exclude claims for the return of fees, so check the wording with a broker.

Is a VAT error in a quote a professional negligence issue?

It can be. If a client relied on a quote that wrongly treated prices as VAT inclusive and suffered a loss as a result, the claim would usually be framed as a failure to use reasonable care and skill. Whether there is a recoverable loss depends on what the client would otherwise have done.
