How to make a PI insurance claim in the UK

Reviewed by Matthew Bartlett, Director, Apex Insurance Brokers Limited (FCA FRN 724952) · Published 14 July 2026

A step-by-step guide to making a UK PI insurance claim. Applies whether you're notifying a circumstance or responding to a formal claim.

The direct steps

  1. Contact your broker immediately. Not the insurer directly — the broker manages the process.
  2. Gather all relevant documentation. Client contract, work product, communications, any complaint or claim.
  3. Notify formally in writing. Broker drafts and sends.
  4. Wait for insurer confirmation. Usually within days.
  5. Cooperate with the insurer's enquiry. Panel solicitors may be instructed.
  6. Attend meetings, provide information.
  7. Follow the insurer's direction on settlement or defence.

When to notify a circumstance vs a claim

  1. Circumstance. Facts you know that could reasonably give rise to a claim. Notify.
  2. Claim. A demand or process actually made. Notify immediately.
  3. Late notification is the single most common cause of coverage disputes.

What to include in a notification

  1. Client and matter description.
  2. Nature of the potential or actual claim.
  3. Financial exposure estimate.
  4. Timeline of events.
  5. Documents supporting your position.
  6. Actions already taken.

Common mistakes to avoid

  1. Delaying notification. Get it in immediately.
  2. Communicating directly with the claimant without broker input. Risks admissions.
  3. Under-documenting the notification. Broker/insurer needs the whole picture.
  4. Not preserving evidence. Keep original files, correspondence, drafts.
  5. Settling without insurer consent. Voids cover.

Frequently asked

What's the first step in making a PI insurance claim?
Contact your broker immediately. Don't contact the insurer directly or the claimant — the broker manages the process.
How quickly do I need to notify?
As soon as practicable. Standard wording requires notification during the policy period. Delay risks coverage denial.
What if I'm not sure whether to notify?
Err on the side of notifying. Notification of a circumstance doesn't cost you anything but protects the coverage. Non-notification of a genuine circumstance risks coverage.
Does the insurer defend me automatically?
Insurer typically instructs panel solicitors to defend claims covered by the policy. Where coverage is disputed, discuss with broker on approach.
Can I choose my own defence solicitor?
Some policies allow named solicitors; most require insurer-panel solicitors. Check the wording. Where you have strong preference, discuss with broker at notification.
Do I have to pay the excess?
Yes typically. Excess is deducted before insurer pays. Confirm the specific excess with broker at notification.
What if the claim is close to my policy limit?
Consider whether excess cover or personal exposure applies above the limit. Discuss with broker urgently.
Does making a claim affect future renewals?
Yes potentially. Insurers rate against claims history. Discuss impact at next renewal with broker.

How these figures are produced

This guide is built from Apex's own market data: the premiums insurers have actually quoted and charged on professional indemnity risks we have handled. Each night that data is aggregated into anonymised rate bands by profession, fee income and limit of indemnity. No client information is published — a band only appears where it contains at least five separate records, and unusually high premiums are excluded so a single atypical risk cannot distort the guide.

The range shown spans the typical spread of recent market outcomes for similar risks. Individual quotes can fall outside it in either direction. Figures exclude insurance premium tax at 12%.

This calculator is not a quote and is not an offer of insurance or advice. Your actual premium depends on full underwriting of your business, including your activities, claims record and insurer appetite at the time.
