What information do I need to answer for a PI insurance quote?

Reviewed by Matthew Bartlett, Director, Apex Insurance Brokers Limited · Published 14 July 2026

A well-prepared PI quote presentation returns better terms. This page sets out the standard information a UK PI broker needs to run the market for you.

Essential information

  1. Firm details. Registered name, legal structure, FCA/SRA/ARB/ICAEW/RICS/other authorisation.
  2. Fee income. Last year, current year, projected next year.
  3. Practice mix. Percentage of work by activity type (e.g. conveyancing, commercial property, corporate, private client for solicitors).
  4. Personnel. Partners, directors, senior professionals — names, qualifications, dates of practice.
  5. Claims history. Last 5-10 years including paid, reserved, and notification-of-circumstance items.
  6. Financial position. Turnover, capital, solvency, any material issues.
  7. Compliance record. SMCR, Consumer Duty, complaints history, any regulator engagement.
  8. Practice policies. Client care, complaint handling, file review, supervision.

Additional information for specific scenarios

  1. Difficult-risk placements. Root cause analysis + remediation narrative for prior claims.
  2. Merger or acquisition. Combined-firm history plus both firms' claims records.
  3. New activity. Additional practice area details.
  4. DB-transfer advice (IFAs). Volume, dates, methodology, FCA engagement.
  5. R&D tax credit (accountants). Volume, HMRC engagement, methodology.
  6. BSA-touching work (architects/engineers). Project list, higher-risk-building exposure.

Frequently asked

What's the minimum information needed for a PI quote?
Firm name, activity type, fee income estimate, cover-limit desired, claims history summary. Insurers may return a preliminary quote from this.
Does the broker do all this preparation themselves?
A specialist broker prepares the presentation on the firm's behalf using information the firm provides. The firm doesn't have to write it themselves.
What if I don't have 5 years of claims history to hand?
Get it from your incumbent insurer — you're entitled to a loss run. Standard part of PI renewal preparation.
What if I've never had a claim?
State that clearly. A clean claims record supports the presentation. The absence of history is a positive underwriting signal.
Do I need to disclose complaint records that didn't become claims?
Fair-presentation duty covers material matters. Complaints that could reasonably give rise to future claims are notifiable. Discuss with broker.
What about my personal claims history if I've worked at other firms?
Individual claims history follows the professional. Include prior-employer claims that involved you personally.
How do I explain a prior claim to insurers?
Root cause + what changed + evidence of remediation. Specific, dated, documented. Vague explanations don't help underwriting.
Should I disclose changes I'm planning but haven't made yet?
Yes for material planned changes (new practice area, key personnel changes, structural changes).

How these figures are produced

This guide is built from Apex's own market data: the premiums insurers have actually quoted and charged on professional indemnity risks we have handled. Each night that data is aggregated into anonymised rate bands by profession, fee income and limit of indemnity. No client information is published — a band only appears where it contains at least five separate records, and unusually high premiums are excluded so a single atypical risk cannot distort the guide.

The range shown spans the typical spread of recent market outcomes for similar risks. Individual quotes can fall outside it in either direction. Figures exclude insurance premium tax at 12%.

This calculator is not a quote and is not an offer of insurance or advice. Your actual premium depends on full underwriting of your business, including your activities, claims record and insurer appetite at the time.
